Microsoft Dynamics 365 Business Central is an enterprise resource planning (ERP) solution for small- and medium-sized organizations. Business Central’s capabilities give companies the power to “run your entire business with a single solution,” according to Microsoft. In essence, this ERP solution gives organizations a way to streamline processes, make more informed business decisions, and accelerate growth.

For those familiar with Microsoft Dynamics SL, Dynamics GP, and Dynamics NAV, Business Central is considered the “next generation” Microsoft ERP path. It’s based off of NAV, hosted by Microsoft, and uses a 100 percent web interface that makes it easily accessible on computers, tablets, and phones. Business Central is also available on-premise, for those who prefer it.

Since it’s a Microsoft 365 product, it works with Office 365, so you’re able to smoothly integrate Outlook, Excel, Word, PowerPoint, SharePoint, and more.

Microsoft also offers Dynamics 365 Finance & Operations, which is a solution based off of Dynamics AX. Finance and Operations is designed for enterprise-level customers.

It depends. If your current solution lacks important capabilities that you need, or if you’re moving to the cloud, you should consider Business Central. This solution excels at integration with the rest of the Microsoft stack (including Office 365, PowerApps, Flow and PowerBI). Some of these capabilities exist with Microsoft legacy ERP solutions, but the experience is infinitely more refined in Business Central.

Migrating a legacy solution to the cloud can be done, but it’s a clunky process. You must either use remote desktop-type technologies or (what is usually a less than optimal) web interface. The remote desktop-type approaches often leave something to be desired when it comes to Office integration. Business Central’s web interface is a modern, pure web experience.

Business Central has two editions: Essentials and Premium.

Essentials includes financials, distribution, warehouse management, and project management. Premium offers these services and adds manufacturing and service. Essentials users cost $70 per user per month. Premium users are $100 per user per month. You cannot mix editions.

Team Member users (read-only) are $8 per user per month. Team members can also do limited data entry, such as sales or purchase quotes.

Like any piece of software, once you know it, it’s easy to use. Business Central is different than GP, so there will be a learning curve. It does include intuitive navigation, complete with a search feature offering fuzzy matching logic to help you easily find what you are looking for. Most users wind up using the search box for navigation as opposed to relying on the menu structure.

For those who have been raised in the internet generation and are therefore more comfortable with pure web interfaces, the learning curve is usually much quicker. Business Central has great online user documentation that is, again, easily searchable. There is also an extensive eLearning library.

Many Business Central implementation partners offer personalized Business Central user training for organizations wishing to speed up the learning process.

No, but there is a deep integration between Business Central and Office 365. For one, you can use the same login for Office 365 and Business Central. There is built-in Excel integration and export. You can use Microsoft Word to set up report layouts. The Outlook plug-in adds a whole new Outlook pane that shows Business Central data right in your email app. Here’s an example using a customer-based scenario.

There are multiple options to help you migrate from GP to Business Central. You can use the migration tool that Microsoft provides, though this particular tool is limited in that it requires GP 2015 R2 or later and doesn’t include historical data.

There’s also Microsoft Intelligent Cloud Insights, which links on-premise GP to an instance of Business Central in the cloud. Some limitations with this approach include the fact that it strips your general ledger account segments (now called “dimensions” in Business Central). Additionally, while it does do history, it ports the data to new, separate tables and requires that you be on GP 2018 R2.

GP 2365 is a solution designed to fill in the gaps that other tools leave. It was designed specifically for people migrating from GP to 365 Business Central, and was created by the experts who oversaw the very first Business Central go-live.

Microsoft’s migration tools are limited in that you must be transitioning from a certain version of GP (GP 2015 R2 or later). If you’re using anything prior to this, it won’t work.

Additionally, you won’t be able to migrate your historical GP data unless you use an additional tool (which requires GP 2018 R2) and even then, it separates the data so you’ll have to jump from table to table when reporting.

Spinning up an instance of Business Central takes a matter of minutes to initialize, and anywhere from one to four hours to become available. As far as implementations go, a simple single company financials setup can be done in less than four weeks. More complex implementations take more time, naturally, and this generally takes two to three months. Manufacturing implementations take typically four to six months.

Business Central includes an HR module, but not payroll.

If you want to outsource your payroll, you can import payroll transactions to your general ledger. Some payroll service providers have created integrations for Business Central that are available on AppSource. ADP has an integration available as well.

If you want to run your payroll in-house, there are several options. For simple needs, we recommend looking at Primo Payday. If your needs are more complex, consider looking at Payroll Now. Both Primo Payday and Payroll Now are built into Business Central. Greenshades, a company many GP users are familiar with, has recently released an integrated payroll solution. And finally, if you are in Canada, you should take a look at Insight Works' Canadian Payroll module.

For those that aren’t familiar, ISV stands for Independent Software Vendor. These are the companies that create add-ons for GP and Business Central.

Many of the GP ISVs have made the move to Business Central, such as eOne and Binary Stream. Most of the popular EDI and eCommerce providers also have Business Central connectors.

We added MICR check printing as part of the GP 2365 package. For other ISV solutions, you’ll have to work with your Business Central partner to identify options. There are almost 400 Business Central apps available on AppSource, and the list grows every day.
