It is month-end. The ledger is closed in Dynamics GP, the finance director is waiting for the board pack, and Management Reporter suddenly refuses to connect. Or worse, it connects, generates the report, and the numbers do not match Microsoft Dynamics GP.
If this sounds familiar, you are not alone. These are two of the most common support calls we receive from Dynamics GP customers. The reassuring part is that the causes are usually predictable, and most can be fixed without losing any report designs or data.
In this article, we will explain how Management Reporter works behind the scenes, walk you through the usual causes of each problem, and show you the fixes in a sensible order.
First, How Management Reporter Gets Its Data
Management Reporter 2012 is the financial reporting tool most organizations use with Microsoft Dynamics GP. It replaced FRx and is used to build income statements, balance sheets, cash flow reports, and board packs.
It helps to recognize that Management Reporter does not usually read Dynamics GP directly. Instead, it works through three parts:
- The MR services: Two Windows services run on the server: the Management Reporter 2012 Application Service, which handles user connections and report generation, and the Management Reporter 2012 Process Service, which moves data and runs scheduled tasks.
- The data mart: A separate SQL database, often named Management Reporter DM, holds a copy of your Dynamics GP general ledger data, organized for fast reporting.
- The integration: A background job regularly copies new and changed GP data into the data mart. Dynamics GP uses SQL Server change tracking so the integration knows what has changed.
So when a report is wrong, the question is rarely “Is Dynamics GP wrong?” It is usually “Has the data mart kept up with Dynamics GP?” Keeping this picture in mind makes troubleshooting much faster.
Problem 1: Management Reporter Is Not Connecting
The typical symptom is a message in Report Designer saying it cannot connect to the Management Reporter server, or the Report Viewer simply hangs.
Cause 1: The MR Services Have Stopped
This is the most common cause by far. Services can stop after a server restart, Windows updates, or a SQL Server outage.
Fix: Log on to the MR server, open the Management Reporter 2012 Configuration Console, and check that both services show as running. If not, start them. You can also check them in Windows Services. Set both to start automatically.
Cause 2: The Service Account Password Has Changed or Expired
The MR services run under a domain account. Many organizations have password policies that expire this account, or an IT colleague changes it without updating MR. The services then fail to start, or start and stop again.
Fix: Update the password for both services in the Configuration Console. We strongly recommend using a dedicated service account with a non-expiring password, approved by your IT security policy.
Cause 3: The Wrong Server Address in Report Designer
Report Designer connects using a server address and port, normally in the form of http://servername:4712. If the server has been renamed, moved, or replaced, users may still be pointing to the old address.
Fix: In Report Designer, open the connection settings and confirm the server name and port. Also check that Windows Firewall or network rules allow traffic on that port between users’ machines and the MR server.
Cause 4: SQL Server Has Moved or Been Renamed
If your IT team has migrated Dynamics GP to a new SQL Server, MR may still be looking for the old one.
Fix: In the Configuration Console, review the Management Reporter database connection and the GP integration settings, and point them to the new SQL Server. Restart both services afterwards.
Cause 5: Version Mismatch After an Update
After a cumulative update (CU) is installed on the server, users with an older Report Designer client may be unable to connect.
Fix: Make sure all user machines run the same MR version as the server. The source document identifies Management Reporter 2012 CU16 as the latest release. If you are still on an older CU, review your upgrade options, as later releases contain data mart fixes.
Cause 6: User Access
Sometimes the system works for everyone except one person. Usually, that user has not been added to Management Reporter, or does not have access to the relevant company.
Fix: In Report Designer, go to Security, and check the user’s role and company access.
Problem 2: Management Reporter Is Connecting but Not Pulling Data
This problem is more worrying, because the report looks normal but the figures are wrong, missing, or out of date. Typical symptoms include:
- Recent journal entries not appearing in the report.
- Balances that differ from the Dynamics GP trial balance.
- A new account or new company not showing at all.
- Account descriptions or categories still showing old values.
Cause 1: The Data Mart Integration Is Behind or Has Stopped
If the Process Service stops, or the integration hits an error, the data mart stops receiving new Dynamics GP data. Reports then show figures as at the last successful run.
Fix: In the Configuration Console, open the GP-to-data mart integration and review its status and the integration log. Look for warnings or errors and check when the tasks last completed. If you have just posted a large number of transactions, the integration may simply need more time to catch up. Restarting both MR services often clears a stuck integration.
Cause 2: GP Database Restored or Copied
When a Dynamics GP company database is restored from backup, or copied to create a test company, SQL change tracking can be disabled or reset. The integration then loses track of what has changed. A restored test company can even feed the wrong data into the production data mart.
Fix: Confirm change tracking is enabled on the Dynamics GP company databases. If a test company was created from a production copy, make sure it is not set up in the production MR integration. In most cases, a data mart rebuild is needed afterwards.
Cause 3: The Transactions Are Not Posted, or Are in the Wrong Period
It sounds simple, but we see it often. Management Reporter reports posted general ledger data. Saved batches, unposted journals, and entries posted with the wrong user date will not appear where you expect them.
Fix: Check the batch status in Dynamics GP and confirm the posting dates and fiscal periods.
Cause 4: Changes in GP That Do Not Update Automatically
Certain changes in Dynamics GP are not always picked up correctly by the integration, including changes to account categories, account descriptions, Analytical Accounting settings, and the use of account tools such as account modifier or combiner.
Fix: After any of these changes, plan a data mart rebuild.
Cause 5: New Company Not Added
A new Dynamics GP company does not automatically appear in Management Reporter.
Fix: Add the company to the Dynamics GP integration in the Configuration Console, then create the company in Report Designer.
Cause 6: Year-End Close Issues
Opening balances in the new year can look wrong if the year-end close was run more than once, reversed, or run before all adjustments were posted.
Fix: First, confirm the GP balances are correct. If they are, rebuild the data mart. If not, correct GP first.
The Data Mart Rebuild: When and How
Among Dynamics GP specialists, there is a simple rule: if Management Reporter disagrees with GP and GP is correct, rebuild the data mart. A rebuild clears the data mart and reloads it from GP. It does not change your Dynamics GP data, and it does not touch your report designs, row definitions, column definitions, or trees.
The general steps are:
- Inform users and choose a quiet time, ideally outside business hours.
- Take a SQL backup of the Management Reporter and data mart databases.
- Stop the MR Process Service.
- Reset the data mart using the reset option in the Configuration Console, or the PowerShell commands Microsoft provides for this purpose.
- Reconfigure the Dynamics GP data mart integration and start the services.
- Allow the integration to complete. For large databases, this can take several hours.
- Regenerate the reports and compare them against the Dynamics GP trial balance.
Important: Do not skip the backup step. A rebuild is safe when done correctly, but a backup costs very little and protects you if anything unexpected happens.
A Useful Check: The Legacy Provider
Management Reporter can also use a legacy provider that reads Dynamics GP directly, without the data mart. Some organizations use it for comparison. If a report is correct on the legacy provider but wrong on the data mart, the data mart is almost certainly the problem.
Analyzing the Problem: A Quick Checklist
When something goes wrong, analyzing it in this order saves time:
| Question | If Yes, Look At |
|---|---|
| Can nobody connect? | MR services, service account, server and port. |
| Can only one person not connect? | User security, client version, local network. |
| Are figures missing or out of date? | Integration log, posted batches, user dates. |
| Did someone restore or copy Dynamics GP recently? | Change tracking, test company setup, rebuild. |
| Were accounts or categories changed? | Data mart rebuild. |
| Is it a new company? | Integration setup and Report Designer company. |
Preventing It from Happening Again
A few straightforward maintenance practices can reduce the risk of Management Reporter problems, particularly around month-end:
- Use a dedicated, non-expiring service account for MR, subject to your IT security policy.
- Monitor the integration log, especially before month-end.
- Keep Management Reporter on the latest applicable cumulative update.
- Agree a process with IT before restoring or copying Dynamics GP databases.
- Rebuild the data mart after major structural changes in Dynamics GP.
- Keep a record of any customization to reports and trees, so you can rebuild quickly if needed.
A Note on the Future
Management Reporter is closely tied to Dynamics GP, and Microsoft has stopped selling new GP licenses, with Dynamics GP product support ending on 31 December 2029.
If your organization is planning a Dynamics GP to Business Central migration, it is worth knowing that Dynamics 365 Business Central has its own financial reporting built in, along with Power BI and Excel-based options. Many of your existing report structures can be recreated there.

Frequently Asked Questions
Will rebuilding the data mart delete my reports?
No. Report definitions, row and column definitions, and reporting trees are kept. Only the data mart’s copy of Dynamics GP data is cleared and reloaded.
How long does a data mart rebuild take?
It depends on the size of your Dynamics GP data. Small databases may finish within an hour; large ones can take several hours.
Why does MR show different figures from the Dynamics GP trial balance?
Usually because the data mart is behind, transactions are unposted or in another period, or the Dynamics GP structure changed. Check those first, then rebuild if needed.
Do I need a separate license for Management Reporter?
Management Reporter is normally included with your Dynamics GP license. If you are unsure, your partner can confirm your registration.
