Control in GP keeps running totals for each item, such as how many units you sold during the year. It also stores a detailed trail of purchase receipts, cost changes and lot information. Over time, this information grows, and some of it is no longer useful once items have been fully sold.

The year-end close does two jobs:

It resets the yearly counters so the new year starts from zero.

It gives you the option to clear out records that are no longer needed, which keeps your inventory tables lean and your reports easier to read.

If you skip the close, or run it at the wrong time, your item history can become confusing. Sales quantities from two different years may end up mixed together, which makes analysis and reorder planning less reliable.

One important point: the Inventory year in GP is closed separately from the General Ledger. You run it from Inventory > Routines > Year-End Close (or Microsoft Dynamics GP > Tools > Routines > Inventory > Year-End Close), and it should be done once all inventory transactions for the year have been posted and before any transactions for the new year are entered.

What the Routine Does Every Time You Run It

Regardless of which options you select, the routine always performs these actions:

Moves current-year totals into history: For items where you keep summarized sales history, GP transfers the year’s quantity, cost and sales amounts into the item’s history record. This is what allows you to compare this year with last year later on.

Sets the Quantity Sold field to zero: In the Item Quantities Maintenance window, the quantity sold for every item at every site is reset, ready for the new year.

These two actions do not delete any transaction detail. They simply roll the totals forward. The optional steps are where data is actually removed, so let us look at each one carefully.

What the Optional Settings Remove

The Inventory Year-End Closing window offers several optional settings. Each one is useful, but each one also has consequences you should understand before you tick the box.

Remove: Discontinued Items

If you mark this option, GP removes items that are set to the Discontinued item type and have no quantity left on hand. This is a good way to tidy up your item list after a product range has been retired.

However, it is not only the item card that goes. All inventory transaction and distribution history for those items is removed as well. After the close, you will not be able to drill back into the history for those items. If your auditors, sales team or purchasing team may still need to look at past movements of a discontinued item, think carefully before selecting this option, or print the relevant history reports first.

You may also find that some discontinued items are not removed. This usually happens because there is still a quantity on hand, or because the item is still referenced by open documents. That is GP protecting you, not an error.

Remove: Sold Receipts and Cost Change History Prior To

This option removes purchase receipt layers that have been completely used up, meaning the quantity received is equal to the quantity sold. You enter a cut-off date, and only fully sold receipts and historical cost changes dated before that date are removed.

This is the option that usually has the biggest effect on database size, because busy warehouses create thousands of receipt layers each year.

A few things to keep in mind:

Print the Purchase Receipts Report before you close: so you have a record of the receipts that will be removed.

Average perpetual costing behaves differently: Removing sold receipts does not immediately change an item’s average cost. However, the next time you receive that item, GP recalculates the average using only the receipts that remain. Your finance team should be aware of this so that cost changes in the new year are not a surprise.

Choose your cut-off date carefully: A more recent date removes more data. Many businesses prefer to keep at least one or two years of detail for analysis.

Remove: Sold Lot Attributes

If you use lot-numbered items with attributes, such as colour, grade or expiry information, this option removes the attribute values for lots that have been fully sold. For example, if every unit of a lot marked with the attribute “Blue” has been sold, the attribute value is cleared.

This is a sensible clean-up for most companies. If you operate in a regulated industry, such as food or pharmaceuticals, check whether you need to keep lot attribute information for traceability or recalls before selecting it.

Update: Item’s Standard Cost

This option is relevant if you use a periodic valuation method, either FIFO Periodic or LIFO Periodic. When selected, GP updates each item’s standard cost to its current cost. It does not delete data, but it does change the cost used for valuation going forward, so your finance team should agree on it in advance.

What the Routine Does Not Touch

It is equally useful to know what the close leaves alone:

It does not close the General Ledger year or post any journal entries.

It does not change quantities on hand.

It does not remove items that still have a quantity, even if they are discontinued.

It does not affect Sales Order Processing, Purchase Order Processing or Receivables history.

A Practical Checklist Before You Close

Here is the routine we recommend to our GP clients:

Post every inventory-related transaction for the year, including sales invoices, purchase receipts, transfers and adjustments.

Run the Reconcile utility for inventory quantities, and review the results. Any adjustments it makes will appear on the reconcile report.

Print your year-end reports, such as Stock Status, Purchase Receipts, Turnover, Serial Number List and Lot Number List.

Make a complete backup of your company database. The year-end close cannot be reversed, so restoring a backup is the only way to undo it.

Ask all users to stay out of Inventory while the close runs. During the process, nobody can post transactions, reconcile quantities or change valuation methods.

Run the year-end close, selecting only the removal options your team has agreed on.

Make another backup once the close has finished successfully.

One common mistake is closing the year twice by accident. If that happens, do not post anything further. Restore your backup, or contact your GP partner straight away.

If your team is new to these tasks, our Dynamics GP training covers year-end routines step by step.

Looking Beyond This Year-End

The inventory year-end close is also a useful moment to think about the future of your system. Microsoft will end product updates, tax updates and technical support for Dynamics GP on 31 December 2029, with security updates ending on 30 April 2031. That means only a few year-end cycles remain before every GP business needs to move.

There is a practical link between the two. A well-maintained GP database, with sold receipts, unused lot attributes and retired items cleaned up, is far easier to migrate. Clean data means fewer records to map, fewer exceptions to resolve and a faster project when you move to Dynamics 365 Business Central.

Business Central also handles inventory closing very differently. Instead of a single routine that removes records, it uses automatic cost adjustment and accounting periods, and keeps a complete item ledger history. You can read more about the process in our Dynamics GP to Business Central migration blog, or explore the full range of Business Central features.

Frequently Asked Questions

When should I run the Dynamics GP inventory year-end close?

Run it after every inventory-related transaction for the year has been posted and before you enter any transactions for the new year. It does not have to happen on the same day as your General Ledger year-end close, but it should follow the end of your inventory year.

Can I reverse the inventory year-end close if I make a mistake?

No. There is no undo option for this routine. The only way to reverse it is to restore the backup you made just before running it, which is why a full backup is an essential step in the checklist.

Does the year-end close change my inventory quantities or values?

It does not change quantities on hand. It resets the Quantity Sold field to zero and moves the year’s totals into history. The only option that changes item cost is Update Item’s Standard Cost, which applies to periodic valuation methods.

Is it safe to remove sold receipts?

Yes, for most businesses, as long as you print the Purchase Receipts Report first and choose a sensible cut-off date. Only receipts that have been completely sold are removed. If you use average perpetual costing, remember that the next receipt for an item will recalculate its average cost using the receipts that remain.

Why were some discontinued items not removed?

GP only removes discontinued items that have no quantity on hand. If an item still shows a quantity, or is still linked to open documents, it stays in the system. Clear the remaining quantity or documents and the item will be removed at the next close.

How Nevas Technologies Can Help

At Nevas Technologies, we have more than twenty years of experience with Microsoft Dynamics and have supported GP customers through many year-end seasons.
