What changes is how the upgrade is planned and carried out, and that comes down to the partner doing the work.

In this guide, we’ll look at why keeping GP current still matters in 2026, what a good Microsoft Dynamics GP partner should do at each stage, and how to tell whether you need to upgrade your system, your partner, or both.

Should I Upgrade Dynamics GP?

Table of Contents

Toggle

Should I Upgrade Dynamics GP?

Is Your Microsoft Dynamics GP Partner a Good Partner, Or a Good Sales Person?

Before Your Upgrade, Your Microsoft Dynamics GP Partner Should:

Accurately Assess Your Environment

Assemble Your Team of Experts

During Your Dynamics GP Upgrade, Your Partner Should:

Provide the Information You Need

Thoroughly Test Your New System

Your Upgrade Is Done, but Support from Your Microsoft Dynamics GP Partner Shouldn’t Be

In most cases, yes. But the reason has changed from a few years ago.

Since the October 2019 release, GP version 18.x follows Microsoft’s Modern Lifecycle Policy. In simple terms, you stay supported by staying current. Microsoft releases updates through the year, and you are expected to take at least one of them each year. The October release is also the one that usually carries the year-end payroll and tax changes, so US and Canadian payroll customers cannot really skip it.

If you are still on an older fixed-lifecycle version such as GP 2013, 2015, 2016 or 2018, you are already outside Microsoft support. That means no bug fixes, no tax updates and no help from Microsoft if something breaks. Many older versions also have trouble with modern security standards, for example sending email through Microsoft 365, which now needs newer authentication that only recent GP builds support.

There is also the bigger picture. Microsoft has confirmed that product updates and tax updates for Dynamics GP end on December 31, 2029, with security updates continuing until April 30, 2031. You can read the full breakdown in our guide to Dynamics GP end of support.

So why upgrade GP at all if it has an end date? Three practical reasons:

Compliance. Until you move off GP, you still need correct payroll tables, 1099 changes and tax updates. Only a current version receives them.

Security. Recent releases have added support for newer security protocols and encrypted stored credentials. An unpatched system is an easy target.

A cleaner starting point for migration. Microsoft’s cloud migration tool for moving to Business Central needs GP 2015 or later, and a current, tidy GP system makes that move faster and cheaper. If a Dynamics GP to Business Central migration is on your roadmap, a well-run upgrade now is a sensible first step, not wasted money.

The smart question in 2026 is not only “should we upgrade GP?” but “what should this upgrade prepare us for?” A good partner will help you answer both.

Is Your Microsoft Dynamics GP Partner a Good Partner, Or a Good Sales Person?

Nearly every GP partner will happily quote for an upgrade. Some will offer a large discount. Others will promise the whole thing in a weekend. Those offers can look attractive, but a low quote is often low because important steps have been left out: a proper review of your add-ons, a test upgrade, user training or support after go-live.

Think about how you would choose a builder for work on your office. You would not accept a fixed price from someone who has not visited the site, and you would be wary of anyone promising to finish in half the time everyone else quoted. The same care applies to your ERP. GP holds your general ledger, your payables, your payroll and years of history. A rushed upgrade can cost far more in lost time and fixes than you saved on the quote.

A good partner is interested in how your business runs, not only in how quickly they can close the job. They ask questions, explain trade-offs honestly and tell you when something is not worth doing. A salesperson tells you what you want to hear.

The sections below set out what your partner should be doing before, during and after the upgrade. Use them as a checklist. If your current partner falls short on several points, it may be time to review the relationship as well as the software.

Before Your Upgrade, Your Microsoft Dynamics GP Partner Should:

Most upgrade problems start before any software is installed. The planning stage is where a careful partner earns their fee.

Accurately Assess Your Environment

No partner can give you an honest quote without first understanding what you have. A proper assessment should cover:

Your current GP version and build, and the target version

Every module in use, including payroll, fixed assets, project accounting and manufacturing

All third-party add-ons and ISV products, and whether each one has a version compatible with the target release

Customizations, including Dexterity changes, modified forms and reports, and any custom SQL objects

Integrations with other systems, such as e-commerce, banking, CRM, payroll services or tax engines

Your servers, SQL Server version, Windows version and .NET framework, since newer GP releases have minimum requirements

Database size, data quality issues and any history you may want to archive

Reports and SmartLists your team depends on every day

At Nevas Technologies, we treat this as a structured discovery exercise rather than a quick phone call. The result is a clear list of risks, a realistic timeline and a quote you can trust, without surprise charges halfway through. It also highlights anything you no longer need, which is valuable if you plan to move to Business Central later.

If a partner sends you a price before asking these questions, treat that as a warning sign.

Assemble Your Team of Experts

An upgrade touches technology, finance processes and people, and very few consultants are experts in all three. A strong upgrade team usually includes:

A project manager who owns the plan, runs status meetings, tracks the budget and timeline, and makes sure decisions are recorded.

A technical consultant who handles installation, data conversion, add-on compatibility and server requirements, and who knows how to troubleshoot a failed conversion step.

A functional consultant who understands accounting and operations, trains your users, checks that processes still work as expected and points out new features worth using.

On your side, you should name an internal project lead and a small group of key users from finance and operations who will test and sign off.

When one person tries to cover every role, something usually gets missed. Most often it is testing or training, the two areas that decide whether go-live is calm or chaotic.

During Your Dynamics GP Upgrade, Your Partner Should:

Once the plan is agreed, the focus shifts to clear communication and careful testing. This is where you find out whether the partner’s promises were real.

Provide the Information You Need

You should never have to chase your partner for an update. Good communication during an upgrade looks like this:

Regular status reports from the project manager covering progress, budget used, open issues and the next milestones, with quick answers to any questions about cost or dates.

Clear technical updates on each conversion step: what has been done, what failed and how it was fixed, and whether any add-on needs a new version or licence.

Plain-language guidance from the functional consultant on the training plan, what will look different to users and which new features could save time.

Just as important, your team should feel comfortable raising a concern or asking a basic question at any stage. If people are afraid to ask, small issues turn into big ones at go-live.

If you find yourself regularly waiting days for a reply, or getting vague answers about why something is delayed, take note. Poor communication during an upgrade usually means poor support afterwards.

Thoroughly Test Your New System

A careful upgrade never goes straight into your live system. The safer approach is a test upgrade:

The new GP version and all compatible add-ons are installed on a separate test environment.

A copy of your live data is upgraded into it, while your team keeps working in production as normal.

Your key users test real, everyday processes: entering and posting transactions, running month-end, producing reports, processing a test payroll and checking every integration.

Any issues are logged, fixed and tested again.

Users are trained in the test environment, using their own data, so the new version already feels familiar.

Only when everything passes do you schedule the live upgrade, usually over a weekend or a quiet period, with a clear plan to roll back if needed.

Testing is also a good moment for a short health check of your system. A good functional consultant will spot processes that could be automated, reports that could be simplified or modules you are paying for but not using. That list becomes the starting point for your next improvement, whether that is within GP or as part of a move to the cloud.

When testing is done well, go-live day is quiet. People log in, recognise what they see and carry on with their work.

Your Upgrade Is Done, but Support from Your Microsoft Dynamics GP Partner Shouldn’t Be

The first few days after an upgrade are when small issues appear: a report that prints slightly differently, a user who has lost a permission, an integration that needs a restart. Your partner should make it easy to get help during this period, ideally with direct access to the same consultants who ran the project for at least the first week or the first month-end close.

After that, you should have a clear, reliable way to raise issues, whether through a help desk, a support portal or a named contact, with agreed response times. Ongoing Dynamics GP support should also cover the regular updates you now need to stay current under the Modern Lifecycle Policy, including the year-end release.

A good partner will also come back to you once things have settled. They should review what was learned during testing, suggest practical next steps and help you plan for the longer term. With GP support ending in 2029, that plan should include a clear view of when and how you will move to Dynamics 365 Business Central, so the decision is made on your timeline rather than under pressure.

At Nevas Technologies, we have supported Dynamics GP customers for more than 20 years, handling Dynamics GP upgrades, day-to-day support, ISV add-on issues and full migrations to Business Central.
